Hotel Reservations - Changes & Cancellations

 

Changes and/or cancellations to your reservations can be made directly through Experient up to January 5, 2009.  Any changes and/or cancellations after January 12, 2009 will need to be made with the hotel(s) directly.  The hotel will notify Experient of your cancellation.  Experient will refund your deposit directly to you.  Please allow 30-90 business days for the refund to occur.  Please check with your designated hotel rearding their cancellation policy.  Most hotels require a 72 hour cancellation notice.

It’s not too late to register your staff for their complimentary exhibitor badges at the show.  Click Here and you and your booth staff will save time and energy onsite when picking up your show badges.  Remember that you will need your company password to access this site.

Be sure to maximize your company’s presence on the NADA convention website by keeping your company profile updated, and also advertising your Press Releases and Show Specials.  This is a complimentary service offered exclusively to our NADA Exhibitors.  Be aware that Attendees use this online information to help them plan their convention schedule, so help them find you. Don’t forget to keep your online Company Profile & Product Description updated.

November Exhibitor Update

We value each and every one of our exhibiting partners and appreciate your continued support of the automotive industry and for your participation in the NADA Convention & Expo.  Listed below is an outline of what NADA is doing now to help our Dealers and the automotive industry get through these challenging times.

 

At a Crossroads: NADA's Battle Plan

 

Dealers are facing unprecedented challenges. NADA is actively engaged on the three most significant fronts. In Washington, the association has held high-level meetings with the Treasury Department, SBA, members of Congress, and Chairman Annette Sykora has testified before Congress on the auto rescue plan. We have also been strongly active on the media front, with leadership appearances on several TV and radio news reports, an open letter op-ed piece in major newspapers, and print and broadcast public service announcements. And in the dealership, NADA is offering a free, confidential telephone hotline service to help members with financial and operational issues.

Updated Floor Plan

 

Current economic conditions make it necessary for NADA show management to consolidate some areas of the original 2009 New Orleans floor plan layout.  We have made some adjustments to Ford's booth location and the surrounding areas in Hall H.   
 
In addition, we are adding a large Louisiana Cuisine Bistro and Beer Garden near the Ford booth which will have food and entertainment during the 4-day event.  You will also notice on the plan that we have adjusted some of the perimeter areas near Chrysler's booth as well as General Motor's booth to help tighten up the overall plan and promote better traffic flow throughout the exhibit hall.

We feel strongly that implementing these strategic changes will greatly benefit the overall exposition layout and traffic flow, and will help provide a better experience for all convention attendees in New Orleans. 

 

Exhibitor Badges

 

You are in control of your exhibitor badges!  You have the ability to enter your own staff names into the system and choose how you want to receive your badges.  You may have them overnighted to you via Fed Ex, held on-site for bulk badge pick-up or individual pick-up at the Exhibitor Registration counter.  The deadline for entering your staff names is December 5.  Please click here to begin your badge registration process.  You will need your company password, which was included in your booth space confirmation letter, to enter this secure site.  Companies are entitled to 4 badges per every 100 square feet of exhibit space they are contracted for, up to a maximum of 40 badges.

 

Pre-Show Marketing

 

The Pre-Show Attendee List will be available to exhibitors in early December and is provided to help you with your pre-show marketing campaign to attract customers to your booth at the NADA show.  The list will include all pre-show dealers, managers and allied industry registrants with their mailing address information.  Let the attendees know that you will be in New Orleans for the Automotive Industry Event of the Year!

Exhibit Booth Floor Plans

 

November 21 was the deadline for submitting your booth floor plan to NADA.  If you have not done so, please submit the completed Booth Floor Plan Reporting Form along with you layout, as soon as possible.  Those 10x10’s are just as important as the 20x20’s, so regardless of booth size, submitting your floor plan is required.

October Exhibitor Update

Company/Product Description

 

All exhibitors are responsible for entering and/or updating their product descriptions and contact information on the NADA website.  This information will be visible online to the attendees and will be downloaded and used for the on-site Program Directory.  Click here to go to the page where you will need your company password to enter this secure area of the website. Once there, you can Edit Booth Info.  Companies that exhibited in the 2008 NADA show will find their information that was entered last year.  New companies will find their contact information already filled in.  Even if you do not make any changes, please be sure to click to SAVE button so that the system knows that you have accepted the information that is appearing in your online booth.  Please be sure to enter and/or update your online booth no later than October 29th for inclusion in the on-site Program Directory.


Some of you may have received information from Expo-Guide asking you to submit any necessary corrections to the data that they have on file.  Please note that the Expo-Guide is an international online database that in no way represents or is affiliated with NADA.

 

Celebrity Appearances

 

Do you have a celebrity coming to your booth during the 2009 NADA Convention & Expo?  We would like to help you promote that appearance by highlighting your special appearance on the NADA Convention website and by printing the information in the on-site Program Directory (only if received by press date).  Please complete the Celebrity Appearance Form and send it back to us no later than October 29, 2008.

 

NOTE:  We request that you notify us of your celebrity appearance for safety and security reasons.  You can choose not to have your information publicized by checking the appropriate box on the form.  Thank you for your cooperation.

 

Food and Beverage

 

Aramark is the exclusive caterer for the New Orleans Morial Convention Center.  A food and beverage menu/order form can be found in the online Exhibitor Service Kit.  Exhibitors may not dispense food and/or beverages of any kind, including bottled water, without written permission from MCC and Aramark.  To obtain a Food and Beverage Sampling Approval Form, click here.  This form must be completed and submitted to NOMCC not less than two months prior to show move-in.


Please note:  NADA does not allow peanuts and/or popcorn on the show floor.

 

Final Booth Space Payment

 

Final booth space payments are due on November 7, 2008.  When sending in your final payment, be sure to include the bottom portion of your invoice so that your payment can be applied to the appropriate account.

 

Press Releases and Show Specials

 

Your customers are using the NADA website to plan their convention experience and we want to make sure they know you are there!  The auto Dealers and Managers are searching for companies, products and services they want to visit while at the convention.  We’d like to give you the opportunity to enhance your online booth by including your Press Releases and Show SpecialsClick here to access your online booth.  Once you have entered your password, you can choose to enter up to 3 press releases and 2 show specials.

 

Hotel Reservations

 

Still need hotel rooms in New Orleans?  If you have not submitted your hotel request form, please fax it to us at 703-749-4733.   There are still hotel rooms available.

If you did send in housing forms with your booth space application/contract, you should have received confirmation from our official housing contractor, Experient.  If you have not heard from Experient, please contact them directly at 847-996-5400.

Island Booth Exhibitors

 

In the spirit of neighborly cooperation, we ask you to avoid adding any unnecessary walls that may contribute to obstructed views of exhibitors that surround your booth.  Feedback from our attendees indicates that this causes substantial frustration in their ability to navigate the show floor.

 

Please take your exhibiting neighbors into consideration when positioning hanging signs and exhibit structures that could impede or obstruct lines of sight to them.  Your thoughtful planning will make the show a better experience for all.

Exhibitor Service Kit - "How do I order stuff?"

 

The Exhibitor Service Kit is only available online.  The service kit contains important information and answers many of your questions. Please take the time to access the kit and browse through each section.  Preparing for and ordering services in advance can help save you time and money.

We urge exhibitor to use caution when selecting companies other than the following official contractors for the exhibit planning needs.  The NADA Official Contractors are held to a high standard and are accountable to NADA for any problems or issues that arise with exhibiting companies during the NADA show.  Who will you turn to when you’re experiencing problems with your outside vendor(s)?

Exhibitor Badge Registration - "Hello, my name is....."

 

The online exhibitor badge registration site is up and running!  Please click here to begin your badge registration.  Once there, you will need your company password to access this secure site.  Each exhibitor is entitled to 4 badges for every 100 square feet of space contracted for up to a maximum of 40 badges.

 

Target Move-In - "When can I set up my booth?"

 

The NADA Expo is a targeted move-in show.  Your move-in date is based on size and location on the show floor.  This date was provided to you on your booth space confirmation letter.  If there is a problem with your assigned move-in date, please contact us and we will work with you to accommodate your needs.  Please note that we must receive your request in writing no later than January 2, 2009.  Please email your request to tcarter@nada.org.
